Asking for fees is awkward but necessary. Use these polite Gujarati and English reminder messages and a simple routine to collect dues on time.

Almost every coaching owner dislikes asking for fees. You worry about sounding rude, so you wait. The dues grow, the conversation becomes harder, and finally you are chasing a large amount instead of a small one.

The solution is a calm, regular reminder that sounds respectful and gives parents a clear next step.

Rules for a good fee reminder

  • Be polite. Use a greeting and thank the parent.
  • Be specific. Mention the student's name, the amount and the due date.
  • Be short. Two or three lines are enough.
  • Give a next step. Say how and where to pay, or whom to call.
  • Send it at a sensible time. Avoid late nights and early mornings.

Sample message in Gujarati

Sample message in English

Hello, the fee of ₹[amount] for [student name] for [month] is pending. Kindly pay by [date]. For any query, please call [phone number]. Thank you.

A friendly second reminder

If the due date has passed, send a softer second message: "A gentle reminder that the fee for [month] is still pending. If you have already paid, please ignore this message." This protects the relationship and avoids embarrassment if the parent has already paid.

Build a simple routine

  1. Send the first reminder 3 days before the due date.
  2. Send a second reminder on the due date.
  3. Make a personal call after 7 days.
  4. Keep a note of what the parent said, so the next call is informed.

Why records matter

Reminders only work when the data is correct. If your fee records are in several notebooks, you may remind a parent who has already paid, and that damages trust quickly. One place for fee status, updated whenever a payment is received, removes this risk.
