Monthly Progress Updates for Parents Without Holding a Meeting

Parent meetings take hours and many parents never come. Learn how to share monthly marks, ranks and attendance with every parent in minutes instead.

Parent-teacher meetings sound good on paper. In practice, a coaching centre has hundreds of students, parents work during the day, and only a fraction of them ever show up. The ones who do come are usually the parents of your best students. The parents who most need to hear from you stay away.

A monthly progress update solves this. It reaches every parent, takes far less time, and creates a written record of what you shared.

What a good monthly update contains

Keep it short. Parents want answers to three questions: Is my child coming regularly? How are the test marks? Is there anything I should do?

  • Attendance: present days out of total days, as a percentage
  • Test marks: the last few tests, with the subject and score
  • Rank or position: within the batch, if you share ranks
  • One comment from the teacher: a single line, such as "Needs more practice in algebra"

Pick one fixed date each month

Choose a date, for example the first Saturday, and always send the update then. Parents start to expect it. Students also start to take tests more seriously because they know results will reach home.

Keep the tone supportive

Marks alone can discourage a student. Add one positive line wherever possible. "Improved by 8 marks since last test" is more useful to a parent than a bare number.

Use the language parents use at home

Most families in Gujarat read Gujarati more comfortably than English. An update in Gujarati is read fully and gets responses. Let parents choose the language if you can.

Keep a record

When marks and attendance are stored in one system, you can answer a parent's question months later without searching through registers. If a parent says "My child was never absent", you can check the date in seconds.

Where meetings still help

Keep meetings for special cases: a student with falling marks, repeated absence, or a parent who asks for a discussion. Use monthly updates for everyone and meetings for the few who need a conversation.

How Vidhyantu helps

Vidhyantu stores attendance and test marks together and can send message alerts to parents in Gujarati or English. Teachers enter marks once, ranks are generated for the batch, and parents are informed without anyone writing messages by hand.
