How Surat Coaching Classes Can Stop Chasing Fees on Paper

Fee dues spread across registers and notebooks cause awkward calls and lost money. Here is a simple way for Surat coaching classes to keep fees clear.

Coaching class owner checking student fee dues on a phone

Coaching classes in Varachha, Adajan, Vesu and Katargam often run many batches with different fee plans: a Std 10 GSEB batch, a Std 12 Commerce batch, a CA foundation batch. When fees live in a notebook or an Excel sheet, the same problems come up every month.

The usual fee problems

  • Nobody knows exactly who has paid. The register says one thing, the receipt book says another.
  • Instalments get forgotten. A parent agreed to pay in three parts, and the second part is never followed up.
  • Awkward conversations. The owner has to search for numbers before calling a parent.
  • Discounts are not recorded. A concession given verbally is forgotten by the next month.

What good fee tracking looks like

  1. One account per student, showing the total fee, any discount, payments made and the balance.
  2. Instalments with due dates, so you can see who is due this week.
  3. A receipt for every payment, with a number, so there is no argument later.
  4. A clear dues list, visible to the owner and the cashier, but not to every teacher.

Keep access limited

A cashier needs to collect fees. A teacher needs marks and attendance. They do not both need to see everything. Give each person only the screens they need.

A simple weekly routine

  • Monday: open the dues list and note who is overdue.
  • Midweek: speak to those parents with the exact amount in front of you.
  • Friday: check the receipts for the week against the cash and bank total.

Ten minutes a week is enough when the numbers are in one place.
